You can manipulate the Smart Book algorithm to show availability for a Trunk Show or Event Appointment on specific dates, such as Black Friday. This works best if you are on the Standard Plus or Elite Plans.
If you are on the Standard Plan, you may be able to follow these directions if you have less than 9 Active Users already. This will work if you have not used all of the active users allowed with your plan. You will need at least 1 free active user to delegate the special event appointment type to. Review users under Settings > Users & Security > Users.
Create a New Appointment & add it to Fitting Room(s)
First, you'll want to create a new Appointment Type in Settings > Activities > Appointment Types. This will be your Event Appointment, so you'll want to name it how you'd like, have it set to Book Online, and set up any charges for the Appointment if needed.
Next, go to Settings > Fitting Rooms. Add this Appointment to your existing Fitting Rooms or create a new Fitting Rooms specifically for the Event. You can read more about setting up Fitting Rooms here.
- If you would only like to take the Trunk Show Appointment during the Event, it will be easier to create a new Fitting Room; this way, you can block out the other Fitting Rooms on your Calendar with Placeholders for the Event easily which will show the Trunk Show Fitting Room as the only Available room. You can read about setting up Fitting Rooms here.
- If you would like to be open for other Appointments during the event, you may want to add the Event Appointment to your existing Fitting Rooms.
Create a New User & Add to the Work Schedule
Then, go to Settings > Users & Security > Users. Create a new User named something like "Trunk Show". Add them to the Work Schedule for only the dates of the Trunk Show by clicking Manage: Work Schedule.
For example, my Trunk Show is from 10 am to 5 pm on October 17th, 2020.
Next, click on the ▼ and select Appointment Types to update their Appointment Types so that they can only take the Trunk Show Appointment.
You can find the Appointment Types for a User by clicking ▼.
Your Trunk Show User's Appointment Types should look similar to this.
If you have other Users that are available to take All Appointments, you'll need to also update their Appointment Types so that they can take every Appointment except for the Trunk Show.
This way, BridalLive will see that there is a User available on the Event date to take the Event Appointment. As Appointments for the Event are being booked, you'll want to assign them to other Users to help BridalLive get a better picture of Availability. If you'd like to be able to hold multiple Event Appointments at one time, you'll want to create Fitting Rooms and Users for each concurrent Appointment: if you want to be able to book two Appointments at the same time, you'll need two Fitting Rooms & two Users.
Once the Event is over, you can make the User(s), Appointment, and Fitting Room(s) Inactive until you are getting ready for your next event.
