Match vendors, categories, employees, and more across your stores
HQ Mapping tells HQ which items in different stores are the same thing. For example, if each of your stores has a vendor called “Allure Bridals,” mapping lets HQ treat them as one when it groups your data.
What you can map
Vendors, Departments, Categories, Tax Codes, Employees, Appointment Types, Fitting Rooms, and Payment Methods. Each has its own tab on the Mapping page.
Why it matters
Every store keeps its own lists, and names don’t always match exactly. Mapping gives HQ one way to group them.
Before you start
- Your stores need to be linked to your HQ.
- User roles of Admin/Owner can access mapping.
How to map
In the left menu, under Settings, select Mapping.
Suggestions and Groups
The Mapping page has two tools. Suggestions lines up the same item across your stores. Groups lets you bundle items under a name of your choosing.
Suggestions: match the same item across stores
Suggestions shows matches HQ found for you. HQ looks across your stores for entries with the same name, such as “Allure Bridals” appearing in three stores, and lists them together.
Each suggestion shows:
- The name HQ matched on
- How many stores it appears in (for example, “3 Stores”)
- The entry from each store, with the store name beside it
To use Suggestions
- Choose what you’re mapping, such as Vendors.
- Select Suggestions.
- Review each match. Leave it checked if the entries are the same thing, or uncheck it if they aren’t.
- Your changes save automatically.
Include fuzzy matches: Turn this on to also see near-matches, such as different spellings. These are less certain, so review them closely before accepting.
Groups: organize items your way
A group is a set of items you put together under a name you choose, so you can sort or view them as one set. For example, you might group several vendors as “Designer Lines,” or several payment methods as “Cards.”
To create a group
- Choose what you’re grouping, such as Vendors.
- Select Groups.
- [Create the group and name it.]
- [Add items to it.]
- Your changes save automatically.
Suggestions vs. Groups
| Suggestions | Groups | |
|---|---|---|
| Purpose | Match the same item across stores | Bundle items under a name you choose |
| Who builds it | HQ suggests, you review | You |
| Example | “Allure Bridals” in all 3 stores treated as one vendor | “Designer Lines” containing several vendors |
Tip: Start with Suggestions so HQ knows which items are the same across stores. Then create groups to organize them.
Good to know
- A store with two entries of the same name (for example, two “Justin Alexander” vendors in one store) shows both in the same group. [Confirm what happens to duplicates when mapped.]
- Mapping affects how HQ groups and displays data. [Confirm: It doesn’t rename or change anything in your stores’ BridalLive accounts.]
